What is an AI Agent? Explained Simply, With Examples

An AI agent is AI that works towards a goal in steps: it plans, uses tools and checks results. Simple explanation, real-world examples and the risks.

What is an AI Agent? Explained Simply, With Examples

An AI agent is an AI that does not just answer once, but works towards a goal in several steps, using tools along the way. A normal chatbot replies to one message. An agent can decide what to do next: search your documents, read a file, write a summary, check its own result and try again. It is still powered by a language model, but it is given a job, tools and some freedom to complete it.

An everyday analogy

Asking a chatbot a question is like asking a knowledgeable friend over coffee. They answer from memory and that is it.

An AI agent is more like giving a task to an assistant: "Find the three contracts with this supplier, tell me when each one ends, and draft a renewal reminder." The assistant goes to the filing cabinet, opens the folders, writes notes, and comes back with the result. They decide the steps themselves. You only set the goal.

What makes something an agent

Most AI agents have four parts:

  1. A brain: a large language model that reads, reasons and writes. See what is an LLM.
  2. Instructions: a description of its role and rules, for example "You are a contracts assistant. Only answer from the uploaded documents."
  3. Tools: things it can use, such as searching a document library, reading a file, looking something up on the web or transcribing audio.
  4. A loop: it takes a step, looks at the result, and decides the next step until the goal is reached.

The more tools and freedom an agent has, the more useful it can be, and the more carefully you need to set its limits.

A concrete example (fictional)

A practice manager at "Lindenhof Medical Centre" has 60 pages of internal guidelines: hygiene rules, on-call schedules, referral procedures. New staff keep asking the same questions.

She uploads the guidelines into an AI agent and asks: "What is our procedure if a patient with a suspected infection arrives without an appointment?"

The agent:

  • searches all 60 pages for the relevant sections,
  • finds two passages, one in the hygiene rules and one in the reception guide,
  • combines them into a short answer,
  • and cites the document and page so she can check it.

A plain chatbot without access to the guidelines would have given a generic answer. The agent gave the practice's own answer.

Chatbot vs agent vs automation

  • Chatbot: you ask, it answers. One step.
  • AI agent: you set a goal, it chooses steps and tools to reach it.
  • Classic automation: fixed rules ("if an invoice arrives, save it to this folder"). Reliable, but cannot handle anything outside its rules.

Agents sit in the middle: more flexible than fixed automation, more capable than a plain chat.

The risks, simply

  • Mistakes multiply. If an agent misreads step one, every later step builds on that error. Good agents show their sources so you can check.
  • Too much access. An agent that can read everything can also leak everything. Give it only the data and tools it needs.
  • Unclear instructions. Agents follow their instructions literally. Vague instructions produce surprising behaviour. Our guide what is a prompt helps here.

What this means for confidential data

Practical tip: an agent usually has access to far more of your data than a single chat message. Before connecting one to patient files, client folders or email, check who the provider is, where data is processed, and whether it may reuse what the agent reads.

Because agents read so much, the reuse question matters even more. If a provider may reuse your input, it can remove the identifying details, and what remains is no longer protected by the GDPR: it can legally be pooled and sold. See how on the data trail.

AI agents in Wysor

Wysor includes ready-made agents for professional work: a Knowledge Base agent that answers questions across your uploaded documents with citations, a Persona Agent you give your own role, tone and instructions, Scribe for turning recorded conversations into structured notes, an Interpreter for live two-way conversations across languages, and a Trend Tracker that monitors topics and sends a daily digest. A Telephone Agent for answering calls is live with phone numbers in the US and Germany.

All of them run in the same private workspace: we act only as your processor, never train on your content or sell it, and every connected AI model provider runs with zero data retention.

FAQ

What is an AI agent in simple terms? An AI that is given a goal and some tools, and works out the steps itself to reach that goal, instead of answering just one question.

Is ChatGPT an AI agent? Plain ChatGPT chat is mostly a chatbot. When it searches the web, runs code or works through a multi-step task on its own, it is acting more like an agent.

What are examples of AI agents? An agent that searches your documents and answers with sources, one that turns a recorded meeting into structured notes, or one that monitors news on a topic and sends you a summary every morning.

Are AI agents safe for confidential data? They can be, if the provider acts only as your processor, does not reuse or train on your data, and you limit the agent to the data it needs.
